Terms of service

These are the terms on which Fractional Minds provides bàzilo to the hosts, property managers and agencies who sign up for it. They are written to be read. Section 14 is our data processing agreement — the contract data protection law requires between you and us — and it is part of these terms, not a separate document to sign.
The short version. Your first property is free, with no time limit and no card. Paid plans are monthly and you can cancel at any time. What you put into bàzilo is yours: you can have a full copy whenever you ask, and when you leave we delete it. We do not sell your data or use it for advertising. Before we change these terms, a plan or a price in a way that is worse for you, we email you at least three months in advance.
This summary helps you find your way; the sections below are what applies.
1. Who we are
bàzilo is provided by ZELE LTD, trading as Fractional Minds, a company registered in England and Wales under number 16760837, whose registered office is at 30b Great Sutton Street, London EC1V 0DU. You can reach us at hello@bazilo.uk.
In these terms "we" and "us" mean ZELE LTD. "You" means the business or person who signs up, and "your team" means everyone you give access to: your admins, and the cleaners and laundry providers you add.
2. Who can use bàzilo
- You can sign up as a business — a host, property manager, or cleaning or laundry agency — or as an individual. You must be at least 18, and if you sign up for a business you must be entitled to agree to these terms on its behalf.
- If you are a consumer — an individual using bàzilo wholly or mainly outside your trade, business, craft or profession — the law gives you rights that these terms do not take away. Where a section treats consumers differently, it says so.
- You agree to these terms by ticking the box when you sign up. We record which version you agreed to and when.
3. Your account and your team
- You decide who has access. You are responsible for what is done under your account and for keeping sign-in codes and links private.
- A cleaner's or laundry provider's link works like a key to their own jobs. If one is lost, shared or sent to the wrong person, reset it in bàzilo straight away.
- Tell us at once at hello@bazilo.uk if you think someone has got into your account who should not have.
4. Plans
4.1 The free plan
Free of charge, with no time limit and no card. It includes one property, one connected booking calendar, up to three team members in total (admins, cleaners and laundry providers counted together), alerts by email, and photos kept for 30 days. WhatsApp messages are not included.
We offer the free plan for as long as we offer it. We may change its limits or stop offering it, but only after giving you at least three months' notice by email, as section 12 describes. If it changes or ends, you can move to a paid plan, or close your account and take a full copy of your data with you (section 8).
4.2 Paid plans
Paid plans are a monthly subscription per property, at the prices on our website on the day you subscribe or as we agree with you in writing. Unless we agree otherwise in writing, the first property on your account is free and you pay for each property after it. Paid plans lift the free plan's limits as the website describes.
4.3 The pilot rate
If you subscribe during the pilot at the pilot rate, your price per property stays at that rate for as long as the pilot runs. After the pilot ends it stays the same until we change it under section 12 — that is, after at least three months' notice by email, which gives you time to cancel. Changes in tax, such as VAT, are passed on.
4.4 What counts as a property
One unit you let on its own: a whole home, an apartment, or a room guests book separately. A house with two rooms that guests book independently is two properties; the same house let only as a whole is one.
5. Paying
- We bill monthly in advance, in the currency you chose when you signed up (pounds or euros), by the payment method we agree with you. Each bill covers the properties on your account on its billing date.
- For a business, prices on our website do not include VAT; where VAT or a similar tax applies, we add it. For a consumer, the price we quote includes any VAT you have to pay.
- Bills are due within 14 days.
- If a bill is still unpaid 30 days after it was due, we may suspend your account after warning you by email at least 14 days beforehand. While it is suspended your team cannot use it, but nothing is deleted, and paying the bill restores it.
- We may change the prices of paid plans with at least three months' notice by email (section 12), and you can cancel before the change takes effect. The pilot rate is fixed while the pilot runs (section 4.3).
6. Cancelling and leaving
- Cancelling a paid plan. You can cancel at any time by email. There is no minimum term and no notice period: you are not billed again, and the cancellation takes effect at the end of the month already paid for. We do not refund part-months, unless the law requires it or the reason you are leaving is our fault.
- If you are a consumer: 14 days to change your mind. When you start a paid plan you can cancel it within 14 days, without giving a reason, and get your money back. Because bàzilo starts working for you as soon as you ask it to, we keep an amount in proportion to the days you had the paid plan before you told us. The free plan costs nothing, so there is nothing to refund on it.
- Closing your account. On any plan, tell us and we close it. Before it closes you can ask for a full copy of your data (section 8).
- What happens to your data. After your account closes we keep your data for 30 days, in case you change your mind or still need a copy, and then delete it. Our backups are overwritten on a 14-day cycle, so the last copy in a backup is gone within a further 14 days.
- When we can end these terms. If you seriously or repeatedly break them — after telling you and, where it can be put right, giving you 14 days to do so. If we stop providing bàzilo altogether, with at least three months' notice. Immediately, where the law requires it. If we end them without you being at fault, we refund anything you have paid for the time after the end.
7. Using bàzilo properly
You must not, and must not let anyone else:
- use bàzilo for anything unlawful, or to store or send anything unlawful, harmful, or that you have no right to use;
- try to reach another customer's data or any part of bàzilo you have not been given, probe or test its security, or overload it — except good-faith security research, reported to us as our security.txt describes;
- copy, resell or rebrand bàzilo, or use it to build a competing product, without our written agreement;
- collect data from it by automated means other than features we provide for that;
- put guests' names or other details about guests into notes, property names or other free-text fields — bàzilo is built not to hold them;
- pass a sign-in link or code to anyone other than the person it was made for.
If any of this happens under your account, or if it is needed to deal with a security threat, we may suspend access straight away. We tell you why, and restore it as soon as the reason has gone.
8. Your data
- What you and your team put into bàzilo is yours. We use it only to provide bàzilo to you, as section 14 sets out. We do not sell it, share it with advertisers, or use it to advertise to anybody.
- Each customer's data is kept in its own separate database, on servers in Frankfurt, in the EU.
- You can download monthly reports from the app. At any time, and as often as you reasonably need, you can ask us for a full copy of your data — properties, jobs, times, notes and photos — in a standard format. We provide it within 30 days, free of charge.
- We back everything up every night and keep the backups for 14 days. They are there for a disaster, not to undo an ordinary edit: we cannot promise to bring back a single record you deleted.
- You are responsible for the data you put in being accurate and lawful to hold.
9. Your responsibilities towards your team
For the personal data of your team — cleaners, laundry providers and admins — you are the controller and we are your processor (section 14). That means you must:
- tell them that you use bàzilo, and point them to our privacy notice at bazilo.uk/privacy;
- have a lawful basis for the data you hold about them, including their phone numbers, and for messaging them through bàzilo by WhatsApp or email;
- deal with their requests about their data — we help you do so (section 14.3);
- connect only booking calendar links you are entitled to use.
10. Services bàzilo relies on
- Booking platforms. bàzilo reads the calendar links you connect. The platforms decide what those feeds contain and when they update, and can change or withdraw them. bàzilo is not affiliated with or endorsed by any of them. Check anything important on the platform itself.
- WhatsApp. Messages are sent through Meta's WhatsApp Business service, and Meta's own terms apply to them. A message Meta accepts can still fail to arrive, and we are not always told when that happens.
- Email. Email can be delayed, or filtered as spam by the recipient's provider.
11. Availability and changes to bàzilo
- We work to keep bàzilo available and working properly, but we do not promise that it will be uninterrupted or free of errors, and the free plan comes with no promise of availability at all. Maintenance occasionally takes it offline, usually briefly.
- bàzilo keeps changing as we improve it. If a change takes away something material that a paid plan includes, we give you at least three months' notice and you can cancel before it takes effect.
- bàzilo helps you run your operation; it does not run it for you. If a calendar stops syncing or a message does not arrive, a clean can be missed. The app shows sync problems and sends alerts, but please keep an eye on it and check anything that matters.
12. Changes to these terms, the plans and prices
- We may change these terms, the free plan and the prices of paid plans. If a change is to your disadvantage, we email your account's admins at least three months before it takes effect, saying what is changing. If you do not agree, you can cancel or close your account before then — we refund anything you have paid for the time after the change — and until then nothing changes for you. If you carry on using bàzilo after that date, the new version applies.
- A change that the law requires, that is needed to keep bàzilo secure, or that is not to your disadvantage — a new feature, say — can take effect sooner. We still tell you about it.
- The version date at the top of this page tells you which version you are reading. We keep earlier versions and send you any of them on request.
- While the pilot runs, the pilot rate (section 4.3) is not changed under this section.
13. Liability
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow to be limited. If you are a consumer, nothing in them affects your legal rights as a consumer.
- If you use bàzilo for a business, neither of us is liable to the other for lost profit, revenue, bookings, business or goodwill, or for indirect or consequential loss; and our total liability to you for everything arising in any 12-month period is limited to the greater of the fees you paid us in that period and £100 (or €100, if you pay in euros). This applies to section 14 too, except where the law does not allow it.
- If you are a consumer, we are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care and skill, and not for loss that was not foreseeable when you agreed to them.
- Neither of us is responsible for a delay or failure caused by something outside our reasonable control, such as a failure at a booking platform, at Meta, or in the internet services bàzilo depends on.
14. Data processing (Article 28)
14.1 Who is responsible for what
For the personal data in your bàzilo database ("your personal data") you are the controller and we are your processor. This section is the contract that Article 28 of the UK GDPR and of the EU GDPR requires between us; "GDPR" below means whichever of the two applies. For a few things we decide ourselves — your account and billing details, the signup form, security logs, and analytics in the apps for people who agree to it — we are the controller, and our privacy notice covers them.
14.2 What we process

14.3 What we commit to
We will:
- process your personal data only on your documented instructions — these terms, and the way you set up and use bàzilo — including as to any transfer abroad, unless the law requires otherwise, in which case we tell you first unless the law forbids that; and tell you if we believe an instruction breaks data protection law;
- make sure everyone who can access it is bound by confidentiality;
- keep it secure, with at least the measures in 14.5, as Article 32 requires;
- help you, through bàzilo and where needed directly, to answer people who exercise their rights. If someone asks us directly, we pass the request to you and do not answer it ourselves unless you ask us to;
- help you, as far as bàzilo is concerned, with security, notifying breaches, data protection impact assessments and consulting a regulator;
- tell you without undue delay, and no later than 48 hours after we become aware of it, about a personal data breach affecting your personal data, with what we know at the time, and keep you updated;
- at the end, delete your personal data — returning a copy first if you ask — as section 6 describes, unless the law requires us to keep it;
- give you the information you need to show that this section is being met, and allow and contribute to audits, including inspections, by you or an auditor you appoint who is bound by confidentiality, on reasonable notice — normally no more than once a year, unless there has been a breach or a regulator requires it.
14.4 Sub-processors
You give us general authorisation to use sub-processors. These are the ones we use now:

Each is bound to data protection obligations equivalent to these, and we remain responsible to you for them. We email you at least 30 days before adding or replacing a sub-processor. If you object on reasonable data protection grounds and we cannot resolve it, you can end your subscription before the change and we refund anything paid for the time after it.
14.5 How we keep it secure
- Each customer has a separate database, served by its own process running under its own system account, so one customer's data cannot be reached through another's.
- Data is encrypted in transit and at rest. Backups are encrypted with a key that is not kept on the server.
- Only we can reach the servers, with individual keys. The database's administration interface is not reachable from the internet.
- Admins sign in with a one-time code by email, with a limit on wrong attempts.
- Guest names are never stored. Photos can be deleted automatically after a period you choose, and after 30 days on the free plan.
- Server request logs are kept for five days, and nightly backups for 14.
14.6 Transfers outside the UK and EEA
Your database and backups stay in Frankfurt. Cloudflare, Meta and Google may process data outside the UK and the EEA; where they do, the transfer is covered by an adequacy decision — such as the EU–US Data Privacy Framework and its UK extension — or by standard contractual clauses with the UK addendum.
14.7 If anything conflicts
On data protection, this section takes priority over the rest of these terms.
15. General
- Ownership. We own bàzilo and everything in it apart from your data. You may use it while your account is open. If you send us suggestions, we may use them freely.
- The whole agreement. These terms, and anything else we agree with you in writing, are the whole agreement between us about bàzilo.
- Transfer. We may transfer this agreement to a business that takes over bàzilo, and will tell you if we do. You need our agreement to transfer it.
- Nobody else. Only you and we can enforce these terms; nobody else has rights under them.
- If part is invalid, the rest still applies. If either of us does not enforce a right straight away, that does not mean giving it up.
- Notices. We send notices by email to your account's admins. Send yours to hello@bazilo.uk.
- Language. These terms are published in English and Slovenian. If the two ever differ, the English version applies — except that a consumer may rely on the version in their own language.
- Law and courts. These terms are governed by the law of England and Wales, and the courts of England and Wales decide any dispute about them. If you are a consumer, you also keep the protection of the mandatory law of the country where you live, and you can bring a claim in its courts.
